Every student employee must complete new-hire paperwork; this paperwork is similar for any kind of paid employment, off-campus or on-campus. Students will need to bring these completed forms and documents to 224 Milbank during drop-in hours. Students should contact the office if they are unable to come into the office during scheduled drop-in hours. Students cannot begin working until these forms are received. Both the student and the supervisor will be given an official start date via email by Student Employment Services (SES).

Social Security Letter

 

  • W-4 Form – The W-4 is a standard withholding form required by the Internal Revenue Service (IRS). Student employees who select exempt must complete a new form by February 1st of each calendar year.
  • I-9 Form – The I-9 is an Employment Eligibility Verification Form issued by the Department of Homeland Security (DHS). DHS requires that all employees hired in the United States provide proof of their identity and employment eligibility. A list of acceptable documents (originals only) can be found here. The forms can also be downloaded from the Student Employment Forms section of Barnard Timesheet X.  Please note that all documents must be unexpired.
  • Wage Theft Protection Act (WTPA) – The WTPA is required by The New York State Department of Labor. It informs all employees of their pay rate and payday.  This form is signed and acknowledged by students when they are hired or there is a wage change.
  • Direct Deposit Form – (optional but recommended). Completing the direct deposit form will allow student employees to have their pay check deposited directly into their bank account. Please bring a voided check or a printed direct deposit routing slip issued from your bank. This can be requested at any branch of your financial institution.
  • Columbia Hire Request – The Columbia Hire Request Form is required for all Columbia students working at Barnard. This form allows Student Employment Services to create a record for the student within the system.
  • Social Security Letter (For International Student’s Only) – The Social Security Letter provides documentation for international students who do not have a social security card. The form provides the necessary information for application. Supervisors fill out the required info within the form and give it to the student. The student will need to bring this form to the Office of International and Intercultural Affairs, where they will be instructed on how to apply at the Social Security office. Once they have applied for a number, they will receive a receipt from the Social Security Administration.  They can then complete their employment forms in SES and are eligible to work.  SES will hold the forms until a student has received their Social Security card. Once the card is received, students are required to bring the original to The Registrar’s Office, where they will enter the student into the system. They should then bring the Social Security card to SES to complete the processing of their forms. Once this process is completed, they can be hired on TimesheetX and complete timesheets.
